Solving the Outlook Delegate Dilemma with the Microsoft CRM Outlook Client

Situation: A client has administrative assistants or the like that maintain appointments for other CRM users. In order to have the CRM functionality on appointments in Outlook (e.g. Track in CRM or View in CRM), the assistant must have the appointment in their own Calendar because when opening a calendar appointment from a shared calendar, the CRM toolbar is unavailable.

While having the extra appointments in his or her own calendar might be a workaround, the extra clutter caused be these appointments will likely become unbearable.

There's an easy workaround. Within Outlook, select the Folder List option so that your screen looks like this:

Next, right click on "Calendar", and select "New Folder". The following screen appears:

Give the folder a name, and leave the other options unchanged. Click OK, and you'll notice that the new folder is created as a subfolder of your Calendar:

Use the newly created folder to create and manage appointments for other users. All the appointments created in this calendar are stored separately from the users main calendar, and they do have the CRM Toolbar so that all CRM functionality is available.
